Privacy and cookies
This page explains what we do with your details when you visit jatakbikerental.dk or rent bikes from us. Last updated 30 October 2026.
1. Who is responsible
BeCopenhagen ApS (Ja Tak Bike Rental), CVR 34478503, Hauser Plads 10, 1127 København K, Denmark. Questions about your data: rental@jatakbikerental.dk.
2. What we collect, and why
- When you book on our website: your name, email address, phone number and language, each rider's height (and frame choice for touring bikes). We use them to have the right bikes ready and to send you your booking emails.
- For a child seat: the child's weight, to check that the seat is safe.
- When a partner hotel books for you: the hotel gives us your name and email address, and sometimes your mobile number. The hotel can see the bookings it made: your name, the dates, the bikes and the price, and the contact details and heights its staff typed in. If you booked yourself through a hotel's link or code, the hotel sees only your first name, the initial of your last name and the booking reference, unless we have agreed with the hotel that it also sees your full last name or your email address.
- When you pay: Stripe, our payment company, handles your payment. If you choose a payment method run by another company, such as Klarna or your bank, that company also receives the details it needs for the payment, under its own privacy notice; some of them are outside the EU. We never see your card number. We keep the amount, the date and Stripe's reference.
- At the shop: which bike you received, a height we measured, any change of bike, whether you came, and your signature when you accept the rental terms, with the time and the edition of the terms you accepted.
- The emails and text messages we send you, and your replies.
- When you visit the website: Cloudflare counts visits without cookies. To stop one person holding all the bikes, the site makes a daily code from your internet address using a secret key. Your internet address itself is never stored or sent to us, and the code stays on a booking for at most 7 days. At the pay step, Cloudflare checks that you are a person and not a program.
3. Our legal reasons
- To carry out the rental you booked.
- To meet bookkeeping law, for payments.
- Our legitimate interest in preventing misuse of the booking system and in counting visits.
5. Who handles data for us
- Stripe: payments
- Cloudflare: the website, the bot check, visit counts, and forwarding our booking email
- Brevo: the emails we send you
- GatewayAPI: text messages
- Hetzner: our servers, in Germany
- Hetzner and Backblaze: encrypted backups, in the EU
- Simply.com: our mailboxes
- Anthropic and OpenAI: tools our staff use to answer questions about the business and to look after our systems. Booking details can pass through them.
Stripe, Cloudflare, Anthropic and OpenAI are American companies, so some details can go to the United States.
6. How long we keep it
We keep booking records (names, contact details, what you rented and payments) with no end date, because we use them to understand our business over the years. Payment records are kept for at least five years, as bookkeeping law requires. The visitor code is kept for at most 7 days, and the partner hotel cookie lasts up to 7 days. Our encrypted backups also hold copies, so a detail we delete can remain in them.
7. Your rights
You can ask to see the data we hold about you, to correct it, to delete it, to object to how we use it, or to receive a copy. Please write to rental@jatakbikerental.dk; we answer within one month. If you ask us to delete your details, we delete or anonymise them, except what bookkeeping law requires us to keep.
8. Complaints
You can complain to Datatilsynet, the Danish Data Protection Agency, at datatilsynet.dk, or to the data protection authority in the EU country where you live or work.
9. Marketing
We do not send newsletters or marketing emails. If we start, we will ask you first.
